Terms of Service
- Last updated: 12 October 2026
These terms explain how this website may be used and the general basis on which CLAIREN provides assessment, psychotherapy and addiction treatment. Your individual arrangements are confirmed in a written client agreement before paid services begin. Please read these terms alongside that agreement and our Privacy Notice.
1. About CLAIREN
CLAIREN Psychotherapy & Addiction Treatment is the trading name of Sander Tubbergen, founder, psychotherapist and addiction specialist. References to “CLAIREN”, “we”, “us” and “our” mean Sander Tubbergen trading under that name.
- Business address: 3F1, 3 Hill Street, Edinburgh EH2 3JP, as set out in our Privacy Notice.
- Email:sander@clairentreatment.co.uk, as listed on our website.
- Telephone: +44 (0) 7377 252211, as listed on our website.
2. Using this website
Website content is for general information, not a substitute for individual assessment or personalised professional advice. An enquiry or introductory conversation does not commit you to paid services or establish an ongoing treatment arrangement.
We take reasonable care to keep information accurate and current. Any error affecting a proposed service or fee will be explained before you commit.
3. Agreeing your care
Acceptance depends on clinical suitability, the scope of the practice and availability. Before paid services begin, you will receive a written client agreement covering:
- Care: scope, format, frequency, anticipated duration and review arrangements.
- Payment: fees, payment dates, additional costs and cancellation or rescheduling terms.
- Communication: between-session contact, confidentiality, records and relevant consent.
- Ending care: arrangements for pausing or ending treatment.
You will have time to ask questions and will receive a copy for your records. Any departure from these general terms must be explained and expressly agreed; neither document overrides your statutory rights or information legally binding on CLAIREN.
4. How care is structured
Care is organised into three phases: Consultation, Treatment and Continuity. Each phase is agreed separately according to clinical need.
- Consultation: three 75-minute assessment sessions followed by a personalised written Clinical Direction, bringing together assessment findings, formulation and recommendations. This is a standalone clinical service with no obligation to continue with CLAIREN.
- Treatment: an individually coordinated period of psychotherapy and addiction treatment, with agreed objectives, session frequency, between-session support and review points.
- Continuity: ongoing therapeutic care, with frequency, scope and fees agreed in writing and reviewed periodically.
The Clinical Direction informs your care; it is not an expert witness, occupational health, fitness-to-practise or legal report. Reports for other purposes require separate consideration and agreement.
Published durations are indicative unless specifically agreed. If an agreed appointment or delivery date cannot be met, we will explain promptly and discuss an appropriate alternative.
5. Clinical scope and safety
CLAIREN works within the practitioner’s professional competence and does not itself provide prescribing, medically supervised withdrawal, inpatient treatment or emergency psychiatric care. Where another level of care is needed, we will discuss this and, where appropriate and with your agreement, assist with referral or handover.
Services are provided with reasonable care and skill, but no particular outcome or treatment duration can be guaranteed. Please share relevant information accurately and tell us about significant changes in your health, medication, substance use or circumstances so that care can remain safe and appropriate.
Any additional professional involvement, responsibilities and costs will be explained beforehand. Independently contracted providers have their own terms and clinical responsibilities; CLAIREN remains responsible for its own services and agreed coordination but cannot guarantee another provider’s availability or acceptance.
6. Fees and payment
CLAIREN is privately funded and does not submit claims to health insurers. Fees, payment dates and any additional costs or applicable taxes are confirmed in writing before you commit.
A published “from” fee is a starting price; your fee reflects the agreed scope of care. Fees do not change during an agreed phase without prior discussion and agreement, and changes are not retrospective.
Third-party funding arrangements must be agreed separately. Paying for care does not confer access to clinical information or authority over treatment decisions.
7. Cancellations, refunds and ending care
Cancellation and rescheduling notice periods and charges are explained before booking and recorded in your client agreement. Charges must be fair and proportionate to the loss reasonably incurred, taking account of reasonable steps to reduce that loss, costs saved and any replacement booking. Advance payments are not automatically non-refundable.
You may stop treatment at any time. We encourage a planned ending where possible and will provide a clear account of services delivered, any fair cancellation charge and any refund due.
If CLAIREN cancels an appointment, you may choose to reschedule or receive a refund for the service not provided. For appointments within an ongoing engagement, we will agree a replacement, fee adjustment or refund.
We may need to pause or end care where continuing would be unsafe, outside our competence or otherwise unable to meet your needs, or where circumstances prevent delivery. Other grounds, including unresolved non-payment, will be set out in your client agreement. Wherever reasonably possible, we will explain the reasons, give appropriate notice and consider alternatives or handover; an immediate pause may be necessary for safety.
Where statutory cooling-off rights apply, we will provide the required information before you enter the contract. If you request an early start, we will obtain the necessary express request and acknowledgements and explain the implications for payment and cancellation. Nothing here limits your rights where services are not provided as agreed or with reasonable care and skill.
8. Contact and emergencies
Between-session contact is available only as agreed in your client agreement, including channels, purpose and expected response times. It is not continuous monitoring or a 24-hour service, and enquiries, emails and messages must not be used for emergency assistance.
If you or someone else is in immediate danger, call 999 or attend the nearest emergency department. Outside the UK, contact local emergency services. Do not wait for a response from CLAIREN.
9. Confidentiality and records
Enquiries and care are confidential within legal, safeguarding and professional boundaries. We do not routinely disclose your involvement to employers, insurers, family members or others; information sharing for coordinated care is normally discussed and agreed beforehand.
Disclosure without consent may be necessary where required by law or where serious risk or safeguarding concerns provide a lawful and justified basis. Any disclosure is limited to what is necessary and discussed with you wherever appropriate and lawful.
Confidential records are maintained, including where care is privately funded. Our Privacy Notice explains information handling, retention, your rights and limited access for purposes such as supervision, administration, insurance or legal advice.
Any agreed non-disclosure agreement operates within these boundaries. It cannot prevent lawful safeguarding action, compliance with legal obligations, protected disclosures or complaints to an appropriate authority.
10. Remote sessions and overseas attendance
Remote care is offered where clinically appropriate and permitted by applicable legal, professional and insurance requirements. Please attend from a private setting with a suitable connection; we will agree arrangements for technical interruptions and may need to confirm your location and emergency contacts.
Discuss attendance from another country with Sander in advance, as suitability depends on where you will be physically present. Recording, automated transcription or AI meeting assistants require prior discussion and express agreement.
11. Website materials and liability
Website materials belong to CLAIREN or are used with permission unless stated otherwise. You may view, download and print them for personal, non-commercial use; other use requires permission unless permitted by law. This does not restrict sharing your own Clinical Direction with healthcare professionals or personal advisers.
You must not interfere with the website, attempt unauthorised access or introduce malicious software or unlawful material. External links are provided for information; CLAIREN does not control third-party websites or their privacy practices.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any liability that cannot lawfully be excluded or limited. Your statutory consumer rights remain unaffected.
12. Concerns, updates and governing law
Please raise any concern in writing, using the contact details above. We will acknowledge your complaint in writing within three working days and provide a full written response within 20 working days. If we need longer, we will explain why, confirm a revised date, and keep you updated. Making a complaint will not, in itself, affect clinical decisions about your care.
Updated terms will be published here with a revision date. Updates do not change an existing client agreement; material changes to agreed care, fees or contractual arrangements must be discussed and agreed separately.
These terms, and any contract for services with CLAIREN, are governed by Scots law, and the courts of Scotland will have jurisdiction. If you live elsewhere in the United Kingdom or abroad, you keep the protection of any mandatory consumer laws of the country in which you live and may bring proceedings in the courts of that country where the law allows.
